Appointments booked on the call, not after it.

The agent reads your live calendar, offers real slots, and confirms the booking before the caller hangs up — then handles the reminders, the reschedules and the confirmations that decide whether the person actually turns up.

Booking is where enquiries quietly leak.

"We will call you back to confirm" loses people

Every handoff between the enquiry and the confirmed slot is a chance to lose the booking. The caller was ready; the process asked them to be ready twice.

Reminder texts are not the same as confirmation

A text nobody replies to tells you nothing. The no-show still happens, and the slot is still empty on the day, because nobody found out in time to fill it.

    Reschedules eat the front desk

Changing one appointment is three minutes of someone's day. Multiply by a clinic's week and you have hired a person to move rectangles around a calendar.

What changes on the day it goes live.

The calendar is the source of truth

No double bookings, no slots promised that do not exist, no reconciliation between what was said on the phone and what is in the system.

Confirmation calls that get an actual answer

A voice asking "are you still coming on Thursday?" gets a yes or a no. A text gets silence, and silence is indistinguishable from a no-show.

Reschedules handled without the front desk

The caller moves their own appointment by talking, at 10pm if they want. The calendar updates and everyone gets the new confirmation.

    Three languages, one booking flow

English, Cantonese and Mandarin on the same line and into the same calendar, so nobody needs a bilingual receptionist on every shift.

How it works, in three steps.

    01
    It reads real availability

Live from your calendar or booking system, honouring appointment types, durations, buffers and which practitioner or room a given service needs.

    02
    It books on the call

Offers slots, takes the details, writes the appointment and sends the confirmation — in English, Cantonese or Mandarin, while the caller is still on the line.

    03
    It keeps the slot filled

Reminder and confirmation calls ahead of the date. A cancellation surfaces early enough to be useful, and the freed slot can be offered to the waitlist.

Booking appointments the Hong Kong way.

In Hong Kong a booking is usually confirmed on WhatsApp, not by email, so after the call the agent sends the confirmation and the reminder there, in the language the booking was made in, with the address and a map link. A reply to the reminder ("改期得唔得?") comes back to the agent, which offers new slots rather than leaving it for someone to notice.

It reads live availability from the calendar or booking system you already use and only offers slots that are really free, respecting per-practitioner hours, buffer time, public holidays and the days you close. When a typhoon or rainstorm signal closes the office, it can call or message that day's bookings to move them, which is the job nobody wants at seven in the morning.

Cantonese dates and times are where a booking agent proves itself: "下個禮拜三", "後日朝早", "三點半" and "15:30" all have to land on the same slot. The agent reads the date and time back in full before it books, so a misheard word becomes a correction on the call instead of a no-show.

Illustrative · not a measured client result
    1 empty slot

The arithmetic a clinic can run on its own numbers.

Take one recurring empty slot a day, multiply by your average appointment value and by your opening days. That figure is what confirmation calls and waitlist offers are aimed at — not more enquiries, the same enquiries, kept. We will work it through with your real utilisation on the scoping call instead of quoting a benchmark.

    Frequently asked questions

Which booking systems can it write to?+

Google Calendar, Outlook and Calendly directly, and most practice management systems through their API or a webhook. If your system has no API, the agent can still capture the booking and push it to whoever keeps the diary — less elegant, but it still removes the phone call.

Can it handle several practitioners and rooms?+

Yes. Appointment type, duration, buffer, practitioner and resource are all rules we configure, so a 90-minute treatment needing a specific room will not be offered into a 30-minute gap.

    What stops it double-booking?+

It reads availability at the moment it offers a slot and writes the appointment before the call ends, rather than working from a cached copy. Where the calendar API supports it, the slot is held while the caller decides.

    Do reminder calls annoy people?+

They are short, they identify themselves, and they stop on request. Most clients run one confirmation call a day or two out — enough to catch a cancellation while the slot is still refillable, not enough to feel like chasing.

Can it take a deposit or payment?+

Not spoken card details — we do not want that liability and neither do you. It sends a payment link by SMS or WhatsApp during the call and confirms once it clears, which keeps card data out of the recording entirely.

What if someone just wants to talk to reception?+

It transfers, on request or by rule. Booking by phone should be an option, not a maze with no exit.

Can confirmations and reminders go out on WhatsApp?+

Yes, and in Hong Kong that is usually the channel people actually read. The confirmation and the reminder go out on WhatsApp in the language the booking was made in, and a reply asking to change the time is handled by the agent.

How does it avoid booking the wrong day in Cantonese?+

By reading the date and time back in full before it books. "下個禮拜三", "後日朝早" and "三點半" all have to resolve to one slot, and the read-back turns a misheard word into a correction on the call rather than a no-show.
