Your phone rings when you are closed. That is when it matters most.
Out-of-hours callers are often the urgent ones
Somebody calling at 9pm has a problem now. A recorded message telling them office hours are 9 to 6 answers a question they did not ask.
Overflow is invisible in the call log
A busy signal or an unanswered ring leaves almost no trace. The enquiries you lose at peak are exactly the ones you never find out about.
An answering service takes a message and stops
You pay per call for a stranger who does not know your business to write down a name and a number. In the morning your team starts the conversation from zero.
What changes on the day it goes live.
Coverage on hours nobody wants to staff
Nights, weekends, public holidays, the lunch hour and the 4pm rush — the same agent, at the same cost per call, whenever the phone rings.
Triage instead of a queue
Urgent, bookable and informational are three different paths. Sorting them at the moment of the call is what makes the morning list short.
Mornings start with summaries, not voicemails
A written list of what happened overnight, with the actions already taken, rather than eleven recordings to listen through before you can plan the day.
Escalation that follows your rota
Who is on call, how to reach them, what counts as an emergency and what to do if the first person does not answer — all configured, none of it improvised at 2am.
What's included.
- Overflow and out-of-hours rules: ring count, all-lines-busy, schedule and public holidays
- Knowledge base so the agent answers rather than only recording
- Booking into your calendar for anything schedulable
- Emergency triage rules and an on-call escalation rota with fallbacks
- Escalation by call, SMS, WhatsApp or email
- Structured message capture written to your CRM or inbox
- Trilingual handling: English, Cantonese, Mandarin
- Overnight summary digest, recordings and transcripts
Who runs this.
How it works, in three steps.
Your line rolls over to the agent on a rule you set: after N rings, when all lines are busy, or outside a schedule with your holidays in it.
Answers from your knowledge base, books the appointment, takes the order status question, captures the details properly — in English, Cantonese or Mandarin.
A genuine emergency reaches the on-call person by call, SMS or WhatsApp, following your rota. Everything else arrives as a summarised, actionable item for the morning.
After hours, Hong Kong style.
Hong Kong customers call late: after work, after dinner, on Sundays and on public holidays, which is exactly when your line goes to voicemail. The after-hours agent answers those calls in Cantonese, English or Mandarin, handles what it can on the spot, books what can be booked, and leaves you a sorted list of call-backs for the morning instead of a stack of voicemails.
Closures are part of the job: Typhoon Signal No. 8, Black Rainstorm Warnings, Lunar New Year and the other public holidays. You set the message once, and on those days the agent tells callers what is closed, what still happens and when they will hear from you.
Urgent calls follow the rules you set: which words make a call urgent for your business, who is on call, and what the agent says while it tries them. If nobody answers, the caller is told honestly what happens next, and the call is at the top of the morning list with a summary and the recording.
Overflow and after-hours calls stopped reaching voicemail entirely.
A Hong Kong property agency routed all overflow and after-hours calls to a bilingual voice agent. It answered every call, booked viewings into the CRM, and warm-transferred hot buyers to agents in real time — zero missed enquiries in the first month.

How does the call reach the agent?+
Conditional forwarding on your existing line — on no-answer, on busy, or on a schedule. Your carrier or PBX already supports it, it takes minutes to configure, and it is reversible, so you can trial it on evenings only before extending.
How is this different from an answering service?+
An answering service takes a message. This answers the question, books the appointment and escalates the emergency, because it has your knowledge base and your calendar. The message-taking is the fallback, not the product.
What counts as an emergency?+
Whatever you define. We write the triage rules with you — a burst pipe, a locked-out tenant, a system outage — and everything that does not match waits for the morning with a summary attached.
What if the on-call person does not answer?+
The escalation chain moves to the next person on the rota, and then the next, on the timing you set. If nobody answers at all, the caller is told honestly what happens next rather than being left believing help is coming.
Can we use it only at peak times?+
Yes — overflow-only is the most common way to start. Calls ring your team first and only roll over when nobody picks up, so the agent is a safety net rather than a replacement, and the call log shows you exactly how often the net caught something.
Does it work across timezones?+
It does not sleep, so a UK or US customer calling a Hong Kong business in their own working day reaches something useful.
Does it work on Sundays and public holidays?+
That is when it earns its keep. It answers evenings, weekends and public holidays in Cantonese, English or Mandarin, books what can be booked, and leaves a sorted call-back list for the next working morning.
How are urgent calls handled at night?+
By your rules: which words make a call urgent for your business, who is on call and what the agent says while it tries them. If nobody picks up, the caller is told honestly what happens next and the call tops the morning list with a summary and the recording.
